Searching for a User

Totalview has been optimized to make it easy to find the user information.

The search field in the switchboard is located at the top of the switchboard panel. See The Switchboard client.

The main components used for searching are the Quick filter and the predefined filters. This, in combination with Arrange by Values and Activate/Deactivate predefined filter, makes it easy to find user information.

Predefined Search Filters

The predefined filters are used to filter the listed users in the user grid so that only users of interest are visible.

When selecting a value from the filter list, only users containing the select value are listed in the user grid. If several values are selected from the same filter, the filter is widened and all users containing one of the values is listed in the user grid, e.g. In and Busy lists all users that have the current state of In or Busy.

When selecting a value from different filters, only users containing both values are listed in the user grid, e.g. In and Sales lists all users that have the current state of In and are members of the Sales division.

The filter State Name is always present. Other filters are based on custom fields and vary depending on how the custom field is defined in the Admin module.

Multiple values can be selected by pressing the Ctrl button. Pressing Ctrl-F8 will deselect all values.

The user can drag-and-drop the Predefined Search Filters to change the order of the Predefined Search Filters.

Call Group Filters (Applies to 3CX, Broadworks, One-Connect, IPOffice, and Konnekta)

If the user has “Call Group Admin” rights defined, then a list of current call groups are listed in the filters section.

The user can select one or more call groups to see Totalview users of the call groups. Using the “Logged in” and “Logged out” buttons, the user can choose only to see the logged in, logged out or all Totalview users.

Quick filter

Using the quick filter it is possible to do a free text search for multiple values at the same time. The quick filter is searching the columns defined in the user grids More settings (See Customize Grid). The behaviour of the quick filter can be modified in General Settings (See The General settings)

When searching field values, the values are compared from left to right and no wildcards are used. If a filter is selected, the filter selection is combined with the quick filter search.

When the cursor is in the search field, the Up/Down arrows can be used to traverse the user grid. The Alt + Down arrow will display the popup menu for the selected user.

Enter: Toggle if filters are active (including favorites)

Ctrl+Enter: Toggle if favorites is active

Esc: Deactivate filter, (including favourites)

Example 1. Searching using one value

Searching for jo will match both John Garret and Joshua Williams.

Searching for oh will not match Joshua Williams.

Example 2. Searching using multiple values

If you enter multiple values separated by space all the values must be available for a person.

Searching for Tina System will match Tina since she is a System Administrator

Example 3. Using short values when searching

It is often not necessary to write the whole name if you know more about a person. It is more efficient to enter the beginning of multiple fields. The efficiency varies depending on the values of the company and which fields are selected as quick filter fields.

Searching for t ad might only show Tina since she is a System Administrator

Example 4. Using whole words when searching

Adding two spaces after a value in the search text will change the behavior to only match whole words

Searching for “john” will show both John Garret and Laura Johnson

Clearing the filter

Ctrl–Shift–Space will clear the Quick filter text. Ctrl-F8 will clear both the Quick filter and the Predefined filters.

Activate/deactivate predefined filters

The quick search will combine any selected predefined filter values when doing the search. The predefined filter values can be ignored by deactivating the predefined filters.

The icon on the left of the Quick filter shows if the filters are active or not:

filter_enabled Predefined filters are active and used in the search.

filter_disabled Predefined filters are not active and not used in the search.

The filters can be activated/deactivated by clicking on the icon or by pressing the Enter key.

Arrange by Values

Clicking on a column header will arrange the values alphabetically ascending; clicking once more will arrange the values descending.

Favorites

Click the favorites button favorites_button to see a list of your favourites. Clicking the button again will return all users.
