Access rights

In Totalview HR, access rights  for users are managed in the specific roles. (For more information about roles, please refer to Role Management). This page is intended to provide an overview of the different types of rights that can be assigned to a role. In general, they can be grouped into: Daily, Strategic Goal, Employee Conversation, Employee, General, Settings, Reports, Handed Out Items and Recruitment.

 

 

Daily

Can see count of people in divisions Allows users to see employee statistics in the division overview. This requires additional access to view the division overview.
Can see wage history on divisions Allows users to see wage statistics in the division overview, under the condition that wage statistics are imported from a wage system. This requires additional access to view the division overview.
Can use organization overview Allows users to use the organization overview
Can use competence matrices Allows users to use competence matrices.
Can see all employees in competence matrices Allows users to see all employees in the competence matrix, even though he may not have the rights to see these employees.
Can use job match finder Allows users to use the job match finder.

 

Strategic Goal

In order to use Strategic Goals, it is necessary that the software has valid licenses for this module.

Can delete all strategic goals Allows users to delete all strategic goals
Can delete own strategic goals Allows users to delete strategic goals he created himself or is responsible for. Additionally, if the person is a department manager, he can delete the ones that belong to the department he is in charge of.
Can edit all strategic goals Allows users to create and edit all strategic goals.
Can edit own strategic goals Allows users to create strategic goals, and to edit those goals that he created himself or is responsible for. Additionally, if the person is a department manager, he can create and edit the ones that belong to the department he is in charge of.
Can see all strategic goals Allows users to see all strategic goals on the “Strategic Goals”-page as well as on the “My Overview”-page. Additionally, on employee profiles, it allows a user to see all strategic goals that he is a part of.
Can see own strategic goals Allows users to see strategic goals he created himself or is responsible for. Additionally, if the person is a department manager, he can see the ones that belong to the department he is in charge of. This pertains to both the Strategic Goals page as well as the “My Overview” page.

On employee profiles, a user is able to those goals that he is a part of.

 

Employee Conversation

In order to use Employee Conversations, you need to acquire a valid license for this module.

Can delete all employee conversation rounds Allows users to delete all employee conversation rounds.
Can delete own employee conversation rounds Allows users to delete employee conversation rounds that he created or, if he is a department manager, of those departments that are connected to the conversation round.
Can edit all employee conversations Allows users to create, edit or delete all employee conversations.
Can edit all employee conversation files Allows users to attach, edit and delete all files that are attached to employee conversations.
Can edit all employee conversation rounds Allows users to create, edit and delete all employee conversation rounds.
Can edit own  employee conversations Allows users to create employee conversations, and to edit or delete those conversations that a user created himself, as well as those where he is the conversation manager.
Can edit own  employee conversation files Allows users to attach files for conversations, as well as edit and delete those that were attached by him.
Can edit own employee conversation rounds Allows users to create employee conversation rounds, and change those that he created himself,  or, if he is a department manager, of those departments that are connected to the conversation round.
Can see all employee conversations Allows users to view all employee conversations.
Can see all employee conversation rounds Allows users to view all employee conversation rounds.
Can see own employee conversations Allows a user to view those conversations that he created himself, those where he is the conversation manager, and those where he is a participant.
Can see own employee conversation rounds Allows a user to view employee conversation rounds that he created or, if he is a department manager, of those departments that are connected to the conversation round.

 

Employees

Please take note that all rights that are related to employees are depending on which employees the user is allowed to see. For example, a manager will usually only be allowed to see those employees that are in the department he is in charge of, inevitably restricting access of the rights that are described in this section.

Can edit addresses Allows users to create, edit and delete address information of employees
Can edit agreements Allows users to create, edit and delete agreements of employees
Can edit next of kin Allows users to create, edit and delete next of kin information of employees
Can edit basic information Allows users to create, edit and delete first name, last name, calling name, birthday and gender of employees
Can edit own checklist tasks Allows users to mark their own checklist tasks as done
Can edit divisions Allows users to create, edit and delete division information for every employee but themselves
Can edit contact information Allows users to create, edit and delete contact information of employees
Can edit custom fields Allows users to create, edit and delete custom fields of employees. Please note that only existing fields can be edited. In order to create new custom fields, other rights are needed (Settings->Can edit custom fields).
Can edit handed out items Allows users to edit handed out items of employees: i.e. handing out new items, return items and change items
Can edit employee checklists Allows users to mark checklist tasks as done, convert tasks and delete them. This does not include tasks that belong to the user himself.
Can edit employment states Allows users to create, edit and delete employee states of employees. Please note that users can only attach states to employees that already exist in the system. In order to create new states, other rights are required (Settings->Can edit employment states)
Can edit files Allows users to create, edit and delete files of employees
Can edit ID codes Allows users to change the ID code of an employee
Can edit comments Allows a user to create comments, as well as edit and delete comments for employees that the user has viewing rights to.
Can edit own divisions Allows a user to create, edit and delete division information of himself
Can edit own roles Allows a user to create, edit and delete his own roles
Can edit own checklists Allows a user to edit his own checklist tasks, i.e. mark tasks as done, as well as convert and delete checklists
Can edit qualifications Allows users to create, edit and delete qualifications of employees. Please note that users can only attach qualifications to employees that already exist in the system. In order to create new ones, other rights are required (Settings -> Can edit qualifications)
Can edit roles Allows a user to create, edit and delete roles of other employees, but not the user himself
Can edit Windows login Allows users to edit the Windows Login of employees
Can see addresses Allows the user to view address information of other employees
Can see agreements Allows users to see agreement information of employees
Can see next of kin Allows users to see next of kin information of employees
Can see divisions Allows users to see division information of employees
Can see contact information Allows users to view contact information of employees
Can see custom fields Allows users view custom fields of employees
Can see handed out items Allows users to see handed out items of employees
Can see employee checklists Allows a user to see checklists and checklist tasks of employees, not including the user’s own checklists

General

Can create employees Allows a user to create new employees
Can deactivate employees Allows a user to deactivate active employees and vice versa.
Can hard-delete employees Allows a user to erase all information about an inactive user from the system.
Can mass move employees to divisions Allows a user to move multiple users to a different division at once
Can see all employees Allows users to see information of all employees. Please note that different areas of the employee profile can be restricted by other access rights for this user.
Can see license information Allows a user to view license information
Can see own employees Allows a user to see information about those employees that the user is in charge of.  Please note that different areas of the employee profile can be restricted by other access rights for this employee.
Can see own employees and descending Allows a user to see information about all employees that the user is directly in charge of, including those that are positioned longer down in the organizational hierarchy. Please note that different areas of an employee profile can be restricted by other access rights for this user.
Can see self Allows a user to view information about himself. Please note that different areas of his employee profile can be restricted by other access rights for this employee.
Can see server information  Allows a user to see information about the server that is used by the HR system

 

Settings

Can edit agreements Allows a user to create, edit or delete agreements
Can edit association types Allows a user to create, edit and delete association types
Can edit checklists Allows a user to create, edit and delete a checklist setup
Can edit divisions Allows a user to create, edit and delete divisions in the settings
Can edit countries and cities Allows a user to create, edit and delete countries and cities in the settings
Can edit custom fields Allows a user to create, edit and delete custom fields in the settings
Can edit settings parameters Allows a user to edit the global settings parameters
Can edit handed out item types Allows a user to create, edit and delete handed out item types
Can edit employment states  Allows a user to create, edit and delete employment state types
Can edit jobs  Allows a user to create, edit and delete job types
Can edit qualification groups  Allows a user to create, edit and delete qualification groups
Can edit qualification types  Allows a user to create, edit and delete qualification types
Can edit qualifications  Allows a user to create, edit and delete qualifications

Reports

 Can use employee report  Allows a user to export an employee’s profile to either pdf, word or print.

 

Handed out items

Can delete handed out items for all people Allows a user to delete handed out items for all people
Can delete handed out items for own people Allows a user to delete handed out items for all people that he is in charge of
Can edit handed out items for all people Allows a user to edit handed out items for all people
Can edit handed out items for own people Allows a user to edit handed out items for all people that he is in charge of
Can see handed out items for all people Allows a user to view handed out items for all people
Can see handed out items for own people Allows a user to view handed out items for all people that he is in charge of

 

Recruitment

Can edit vacancies  Allows a user to create and edit all vacancies
Can see all vacancies  Allows a user to view all vacancies that exist in the system
